Van elektronisch facturen (e-factureren) heeft u mogelijk al gehoord, maar wat is een UBL-factuur? UBL staat voor\u00a0Universal Business Language<\/em>. Het is een internationale standaard in XML-formaat die speciaal is ontwikkeld voor elektronische documenten, zoals facturen, maar ook bijvoorbeeld inkooporders en pakbonnen.<\/p>\n

UBL wordt beheerd door de Organization for the Advancement of Structured Information Standards (OASIS).\u00a0Deze non-profit<\/a>\u00a0is een van de meest gerespecteerde instanties voor standaardisatie ter wereld. De UBL standaard is gratis te gebruiken en op 15 juni 2021 is de laatste versie,\u00a0UBL 2.3<\/a>, gepubliceerd.<\/p>\n

De standaard wordt vooral veel gebruikt in Scandinavische landen zoals Denemarken, Zweden en Noorwegen. Maar ook in Nederland is het een veelvoorkomende standaard.<\/p>\n

UBL-OHNL en de Rijksoverheid<\/strong><\/h2>\n

UBL wordt veel gebruikt in de business-to-government (B2G) sector. De Europese commissie heeft zelfs officieel verklaard dat de standaard\u00a0in aanmerking komt voor verwijzing in aanbestedingen van overheidsdiensten<\/a>.<\/p>\n

Sinds april 2019 heeft de\u00a0Nederlandse overheid e-facturatie verplicht gesteld\u00a0voor alle leveranciers. De Rijksoverheid heeft een op de internationale UBL-gebaseerde standaardformaat,\u00a0UBL-OHNL<\/a>, in gebruik. Deze standaard is bedoeld voor de inkoop van alle producten en diensten, met uitzondering van inhuur personeel. Naast facturen (Invoice), zijn ook andere berichttypen gedigitaliseerd: Commitment (intern overheid bericht), Application Response (intern overheid bericht), Order (inkooporders) en OrderResponse (e-retour berichten).<\/p>\n

Waar bestaat een UBL e-factuur uit?<\/strong><\/h2>\n

Een e-factuur is over het algemeen opgebouwd in een XML structuur. Dit is een programmeertaal die ervoor zorgt dat gestructureerde gegevens kan worden weergegeven in platte tekst. Dit is zowel voor machine leesbaar, als leesbaar voor de (gespecialiseerde) mens. Een XML bestand kunt u herkennen aan dat het eindigt op \u201c.xml\u201d.<\/p>\n

UBL is de taal die wordt gebruikt in het XML bestand om de data van bijvoorbeeld een factuur van het ene boekhoudpakket met het andere boekhoudpakket uit te wisselen. Omdat de informatie door verschillende (soorten) systemen kan worden uitgewisseld en verwerkt, brengt dit vele voordelen met zich mee.<\/p>\n

Zo zijn er geen (menselijke) handelingen meer nodig om de factuur te scannen, te controleren, te versturen per e-mail of te printen, wat zorgt voor een veel sneller factuurverwerkingsproces. Dit zorgt vervolgens voor veel geld- en tijdsbesparingen, maar ook voor minder menselijke fouten.<\/p>\n

Hoe kan ik een UBL factuur maken?<\/strong><\/h2>\n

Een UBL bestand maakt u niet heel gemakkelijk zelf, hier heeft u een EDI- of e-facturatieoplossing voor nodig. Als u bijvoorbeeld gebruikt maakt van een van de oplossingen van SPS Commerce, worden met behulp van het FLOW Partner Automation platform de UBL documenten automatisch gegenereerd en verstuurd naar de juiste ontvanger.<\/p>\n

Hoe verstuur ik een UBL e-factuur?<\/strong><\/h2>\n

Bij SPS Commerce kunt u met drie verschillende opties e-facturen versturen:<\/p>\n

    \n
  • Door handmatige invoer:\u00a0Met een FLOW e-facturatie account kunt u laagdrempelig starten met elektronisch factureren.<\/li>\n
  • Van een PDF bestand naar elk formaat:\u00a0Binnen het FLOW platform kunnen wij uw PDF factuur eenvoudig omzetten naar een e-factuur.<\/li>\n
  • Directe koppeling met uw ERP- en\/of boekhoudpakket:\u00a0Wij bieden gestandaardiseerde koppelingen via API’s of hebben gestandaardiseerde ERP- of andere software-koppelingen om systemen snel aan te sluiten.<\/li>\n<\/ul>\n

    Peppol Business Interoperability Specifications (BIS) zijn gebaseerd op een UBL formaat en u kunt via het\u00a0Peppol-netwerk\u00a0e-facturen versturen, maar dan heeft u wel toegang nodig tot een Peppol Access Point.<\/p>\n

    Internationaal facturen versturen via het Peppol-netwerk<\/strong><\/h2>\n

    Het verzenden van een factuur naar het buitenland zonder toegang tot een Peppol Access Point kan complex zijn. En dan hebben we het nog niet eens over de meerdere standaardformaten die er wereldwijd worden gebruikt. Naast UBL heb je: Factur-X, Finvoice, EHF en nog minstens 20 meer verschillende soorten e-facturatie formaten. Het zou goed kunnen dat u uw facturen verstuurt in UBL, maar dat de ontvanger het in een ander formaat wilt ontvangen.<\/p>\n
